frequently asked questions

  • markets and inventory
we have a presence in nearly every market with relationships with dozens of real estate owners. many of these markets can be found here with specific media kits and sites, but it is likely we have options in any market of interest. reach out to us at support@flybyads.co if your market isn't listed and we'll be back with you within 48hrs about your inquiry.
  • details for rfp grids
to complete any rfp grids, please use the data from the spreadsheet found on our downloads page. our medium is unique and does not fit well into most rfp grids. therefore, please use the data found in the rfp master spreadsheet, but you can also refer to our market-specific media kits for a better look at each site.
  • rfp platform fees
the rooftop ad medium does not always fit nicely into an rfp spreadsheet as it is a unique canvas with a unique set of characteristics. we do understand that it can be helpful to put our information into an rfp platform for administrative purposes, so we have provided that information to reference. however, if you are an agency that requires we contract through a fee-based rfp platform (i.e. DoMedia, MediaX, etc.), we add a "rfp platform fee" to the campaign total to account for this pass-thru cost. we would much prefer to work outside of these platforms as they do not provide a benefit to either party for a rooftop advertisement project, and will also save your client money as a result.
  • lighting details
the illumination method we offer is LED light strips, perfect for outlining your display's messaging (wording or figures). these are RGB lights, meaning they can support a variety of colors. there is also an option to choreograph the light display to create an "animated" display.
  • lighting cost template
the cost for our illumination element can be estimated using the following pricing template: $49,500 this is the baseline cost to include illumination in your rooftop campaign. this number does not change whether we light one roof or five roofs in a campaign $14,000/roof this is a "per rooftop" fee, so it is multiplied by the number rooftops illuminated in a campaign $39.75/ft this fee is multiplied by the linear feet of LED strips used for our display as an example, our "Jack Is Back" display consisted of roughly 4,000 linear feet of lighting, totaling $116,000 for the linear footage fee example: a rooftop display that includes 3 rooftops and 3,000 linear feet of lighting will have a total illumination fee of $210,750: base setup fee: $49,500 rooftop fee: $42,000 linear footage fee: $119,250
  • POP
POP, if requested, will be provided from rooftop level via 3-5 still photos sent from our head of installation. These will be sent at any time during the installation window. Proactively requesting a specific day/time for them to be sent is not acceptable. If not specifically requested, rooftop level POP will not be provided. Given the scale of these signs, POP will simply prove the sign has been installed (or is currently being installed, depending on timing). If you are looking for a high-quality visual, one that encapsulates the entire sign in one single photo/video, high quality aerial video/photo will be provided within 20 business days of the aerial content capture flights. It should not be expected that the Client receive any aerial video/photos before this date. Your signature below represents your understanding of a) the only method POP will be provided (if, and only if, proactively requested) and b) your understanding that aerial footage will be provided 20 business days after the aerial content capture flights, but should not be expected any sooner. To clarify - We exclusively offer mid-install photos (when proactively requested by the Client, and only when proactively requested by the Client) taken by our lead installer and taken from rooftop level vantage point ONLY. We do not offer mid-install aerial footage in any fashion. Please understand our rooftop-only photographs provide only a small understanding of the actual image being created, but will at least prove the install is occurring and tracking towards the Display Start Date. If a brand is concerned about quality of install, we refer to our dozens of ecstatic Clients and world-renowned final products. Scheduling a supplementary aerial trip (helicopter and/or drone) & timing with Air Traffic Control in a small mid-installation window is not possible. Thus, we hold our strict rooftop-level-only mid-install POP policy. Your signature below represents your understanding of what is provided and what is not provided with POP vs. Aerial footage (see below) and the timing of each.
  • aerial footage
aerial footage is included with FlyBy Ads displays, and is captured by chartered helicopters and/or drones. the capture mechanism is dependent on FAA and ATC approvals, as well as lead time, weather, and other factors. raw aerial footage will be provided to the Client, including raw daytime still shots, raw stabilized video clips, and will be presented within 20 business days of the aerial content capture flights. the Client should not expect to receive any aerial footage inside 20 business days from the aerial content capture flights. each sign & project is unique. referencing a past sign/project at the same rooftops and expecting similar-style aerial footage is not appropriate, as there are a plethora of factors in play when obtaining footage. NOTE: For each project, only ONE (1) method of aerial video/image capture is to be expected. This will either be: A) Drone footage or B) Helicopter footage, and depends significantly on airport & timeframe-specific FAA restrictions & requirements. Once footage via one mechanism is provided, FlyBy Ads has satisfied their commitment. Obtaining footage via two mediums (Ex: helicopter AND drone) is rare and not to be expected. However, if a secondary method of footage acquisition is successful, this is a bonus and will not be held to the 20 business day timeline, nor any specific timeframe. Ex: FlyBy Ads is able to obtain footage via Helicopter. FlyBy Ads provides this footage to The Client within 20 business days. Once this is complete, FlyBy Ads has satisfied all aspects of this agreement. However, should FlyBy Ads have secondary footage obtained (Ex: via drone), FlyBy Ads may, as an additional free bonus to The Client, provide this footage. However, it should be noted, providing this secondary footage is not required nor is FlyBy Ads beholden to any timeframe during which to provide this footage, nor is FlyBy Ads beholden to any footage requirements with this secondary footage - everything associated with this footage is a BONUS to The Client and has no restrictions tied to it. Height range at which aerial footage will be obtained: Aerial footage height changes project to project, city to city, day to day, airport to airport…and often has to do with the height Air Traffic Control gives us permission to fly at that particular moment. Looking at past projects’ aerial footage height is not an acceptable method to be certain of the height at which your images/videos will be obtained. It is critical The Client understand and accept this. Here are the ranges you can expect (again, note, only one of these methods is to be expected and will be entirely up to FlyBy Ads, given circumstances, to choose which method): Drone footage: Will be obtained somewhere in a range between 30 feet AGL (‘Above Ground Level’ - in this case, the rooftop is considered Ground Level) and 400 feet AGL. See all rooftop-specific shots excluding the 3-4 second mark here for an example of what helicopter footage has, in the past looked like. This should be used only for reference. Note: If helicopter footage is chosen for your campaign there is no guarantee it will be shot at the same height as this example footage - see previous range listed, height can vary extensively. Helicopter footage: Will be obtained somewhere in a range between 300 feet AGL and 5,000 feet AGL) See the 3-4 second mark here for an example of what helicopter footage has, in the past looked like. This should be used only for reference. Note: If helicopter footage is chosen for your campaign there is no guarantee it will be shot at the same height as this example footage - see previous range listed, height can vary extensively. NOTE: For illuminated projects, nighttime or sunset footage will also be provided by FlyBy Ads. Your signature below represents your understanding of what will, and won’t, be provided when it comes to aerial footage and the timing associated with aerial footage. NOTE: No edited photos/videos of any kind will be provided. Raw photos/videos ONLY will be provided. Should you desire video/photo editing etc., we have exceptional references we can connect you with. Any agreement made with our referral partners will be done outside of your interaction with FlyBy Ads. FlyBy Ads is happy to provide referrals, but once a referral is made, FlyBy Ads is not accountable in any way for the edited videos/photos provided nor the agreement, nor will FlyBy Ads be part of the discussion involving the referral partners. Please see our video/photo editor referral process & policies document for more information. NOTE: If no adverse circumstances are present, FlyBy Ads adheres to all aerial footage stipulations and deadlines presented above (will provide footage within 20 business days of the aerial content capture flights), however, it is critical The Client understands that sometimes, situations out of our control may delay aerial footage up to indefinitely. Aerial content capture is dependent on several factors that, while usually are consistent, are ultimately out of our control. If any of these factors are adversely affected, this can have a delay, up to an indefinite time period, on the timeframe to obtain aerial footage and present it to The Client. If a situation like this occurs, FlyBy Ads does guarantee we will continue to work to obtain aerial footage for the client (as long as the sign is still active on the rooftop). However, the timeframe for doing so becomes “indefinite” as circumstances are out of our control. This is a reality and a possibility The Client must understand before moving forward with a project with us. If this situation, while unlikely, is to occur, FlyBy Ads will proactively inform The Client of the situation so they can have proper expectations regarding the aerial footage delay. Ex: Severe weather may hit the area. Thus, air traffic control grounds all traffic for days in a row. Given this, we cannot legally send a helicopter up to get footage during this time. Thus, delivery of footage will be delayed. Ex: Unusual wind patterns hit the area. Thus, air traffic control alters typical traffic patterns and tells our helicopter team we’ll “Need to wait indefinitely due to the change in traffic.” Given this, we may not be able to provide aerial footage within the typical 20 business day turnaround. Ex: A helicopter breaks down and deemed unsafe to fly. A new helicopter is needed. Thus, obtaining aerial footage is delayed. Air Traffic Control institutes a ‘TFR’ (Temporary Flight Restriction), which they legally can do at any time, oftentimes on very short notice. A TFR = No fly zone for a 5 mile radius up to 3000ft AGL. Air Traffic Control delays/pauses/cancels our booked flight and provides no reasoning to us, given they don’t legally have to provide a reason The above are just five examples and are not exhaustive examples of what may cause a delay or inability to obtain aerial footage. NOTE: If the adverse circumstances listed above remain for longer than the duration of the campaign, to the point where FlyBy Ads is unable to obtain aerial footage altogether, The Client will have the choice between two options: 1) Obtaining a refund equivalent to 50% of the 30-Day Media Fee, up to, and capped at, $100,000 total refund. 2) Obtaining a credit towards a future sign, at the rate of 100% of a 30-Day Media Fee, up to, and capped at $125,000 total future credit. “We can’t wait 20 business days for footage, we have campaigns we are planning around the footage and need to receive aerial footage much sooner” This is a comment we receive a lot. And good news - we have two possible solutions! If the Client falls into this category, please note: we cannot expedite our raw aerial footage timeline in any way. Given this, here are two solutions previous customers have embraced in the past: Solution 1: See “Recommended Install Timing: Major Events” Section below. Schedule your campaign 3 weeks prior to the event / 1 week after. This will ensure that (barring extenuating circumstances, see “adverse circumstances section” for situations where we may be unable to obtain aerial footage), you’ll at least receive your aerial footage at the tail end of the campaign, sometime near the actual major event. Solution 2: For many brands, Solution 1 isn’t good enough, as this results in a very tight potential aerial footage window (20 business days from start = ~4 weeks = typically right as the major event is ending = not enough time to activate social media teams etc.). Solution 2, therefore, adds a lot of breathing room and takes the pressure off: Purchase an extra 28 days of the sign (only pay media fees! A fraction of the price compared to original purchase, which accounts for production & installation as well). With these extra 28 days, add the 28 days on the front end of the campaign, thus providing everyone plenty of time to A) Install the Sign B) Take aerial footage C) Send aerial footage D) for The Client to organize their internal teams to process and do whatever else they want to do with the aerial footage…all well before their strict timeline kicks in! Note: Many brands have utilized Solution 2, adding 28 days to the front of the campaign, and have been ecstatic with the results. So ecstatic, they end up adding another extension to the back end of the sign (after all, the media fees = fractions of the large, up front initiation cost!)
  • recommended installation timing: major events
Please see the FAQs page for more details. often brands want to advertise for major events. As an example, two very popular events for us are the Super Bowl & Art Basel. When large events come to town, Air Traffic Control around major airports often tightens their policies. It becomes much more difficult as the event nears to get helicopter and/or drone footage. Given these, we strongly recommend if you are purchasing the minimum flight window (28 days), you schedule the go-live date to be: 3 weeks prior to the event And the campaign conclusion to be (unless campaign is extended, a common request when brands see the results of the sign!): 1 week after the event This timing allows a significant buffer between sign installation completion and the event, while also maintaining the 4-week minimum purchase around the entire event. With a 3 week buffer prior to event start date, we at FlyBy Ads will have the best possible chance of obtaining aerial footage of your sign. (See ‘adverse circumstances’ & ‘weather related’ sections for reasons why this is never 100% guaranteed.) However this proposed 3 weeks before / 1 week after timeframe (vs. a timeframe where installation is completed 1 day or 1 week prior to the event) will allow us the best chance of having a smooth aerial footage capture without being hindered by Air Traffic Control. Ultimately, the exact timing for installation is up to The Client, but please note, should The Client ignore these strong recommendations, they are increasing their chances of having an adverse circumstance scenario occur (see ‘adverse circumstances’ section) and thus, increasing the potential we are unable to deliver aerial footage. Summary - Looking for an installation timeframe suggestion around a major event? Target a Go-Live date of 3 weeks prior to event start.
  • payment terms
due to the grand nature of this medium and significant upfront costs, Production, Installation and Illumination Base Setup fees are due upfront on the display start date. all remaining costs, including the Media other Illumination fees, can be paid out in standard net30 terms. all payments should be made via ACH or other electronic transfer service. please email us at support@flybyads.co for our bank information for this payment method. all fees, current or future, are non-cancellable and non-refundable within 75 days of the Display Start Date.
  • late fees and interest
if the client or representing agency does not make a payment on time, the agency shall pay a $1,000 "late fee" plus interest on the unpaid amount at a rate equal to 18% per month (or, if such payment exceeds the maximum allowed by law, then interest at the highest rate allowed by law). should a client’s payment be delayed extensively, the client’s display start date will also be delayed, in addition to incurring the expedited/late fee.
  • leadtimes for each project milestone?
120 days out: approvals/contracts due illumination decision deadline (if contracted within 120 days, deadline is day of signing) 1st payment installment due (if contracted within 120 days, 1st payment is due on day of signing) 60 days out final artwork due 50 days out: cancellation deadline (after this deadline, all fees are non-cancellable and non-refundable) 0 days out display start date 30 days after 2nd payment installment due *an expedited fee of 25% on the total project is incurred if final artwork is delivered within the above leadtimes* want to know your specific project's leadtimes? use our Project Leadtime Calculator to find out your exact dates:
  • cancellation policy is as follows:
Cancel before 120 days out, only lose your deposit Cancel before 50 days out, lose deposit and 1st payment installment (about 50% of total) Cancel after 50 days out, lose 100% of total
  • reserving roofs for your campaign
while we would love to save space for all of our excited customers, we do have limited inventory in some markets and guarantee exclusive displays along each flight path. because of this, and especially during periods when major events are in town, demand for our rooftops can get competitive. to guarantee your space, we require an executed contract, as well as a non-refundable deposit of $10,000 per rooftop or $50,000, whichever is greater.
  • copy restrictions and approvals
unlike traditional outdoor signage, we face less restrictions and regulations on our copy. that said, all copy must be approved by our site property owners, but generally most copy within reason is approved. less than 1% of all ticketed airline passengers are younger than 18, and only 6% of passengers are aged 18-24 (IATA). we always like to promote positive messaging and are willing to consider bold displays that may not be as encouraged in traditional mediums.
  • artwork details
art files should be built at a scale of 1"=1' and 300 dpi. acceptable formats for sharing are as follows: .tif .eps .ai .psd high resolution pdf
  • artwork submission
email your artwork in one of the above formats to support@flybyads.co, or share the credentials of your company “dropbox” platform so we can access the files there
  • forced production
the nature of a banner rooftop sign is complex and, at times, intricate. therefore, we handle all Production efforts to optimize your sign’s installation process and overall display
  • rooftop display quality
as experts on the rooftop medium we go through the painstaking process of reviewing each roof and its elements to display each sign at its highest possible quality. that said, roof impediments are part of the platform and a reality of nearly every execution. similar to a bus wrap or other non-flat surfaces, a rooftop sign may have a slight curvature and/or small rooftop equipment poking through the sign in certain pre-strategized points. these irregularities are minor and go unnoticed from the viewers on planes above. we recommend reviewing and sharing our spec sheets with the creative team to try to avoid placing complex images on any larger rooftop equipment. we are happy to assist with that process to ensure the best possible display for you and your brand.
  • These signs are exposed to the elements, weather etc. Is there any way you may have to take them down for safety? What happens then?
Installation Specifics & Adverse Circumstances NOTE: If no adverse circumstances are present, FlyBy Ads adheres to all installation deadlines & due dates, as presented in your personalized Project Plan & Installation Timing document. However, it is critical The Client understands that sometimes, situations out of our control may delay installation up to indefinitely. Installation is dependent on several factors that, while usually are consistent, are ultimately out of our control. If any of these factors are adversely affected, this can have a delay, up to an indefinite time period, on the timeframe to complete the installation. If a situation like this occurs, FlyBy Ads does guarantee we will continue to work to install the sign for the client. However, the timeframe for doing so becomes “indefinite” as circumstances are out of our control. This is a reality and a possibility The Client must understand before moving forward with a project with us. If this situation, while unlikely, is to occur, FlyBy Ads will proactively inform The Client of the situation so they can have proper expectations regarding the installation delay. Ex: Severe weather may hit the area, including hurricane force winds. Per our agreement with our building owners, we must cease all installation efforts until the storm passes. Thus, completion of the sign is delayed. The above is just one example and are not exhaustive examples of what may cause a delay. NOTE: If the adverse circumstances cause a delay less than 2 business days, FlyBy Ads will not necessarily add time on the back end of the campaign (although, schedule permitting, they may offer this free of charge at their discretion). If the adverse circumstances cause a delay of 3 or more business days, FlyBy Ads will offer the client the opportunity to add the # of delayed days onto the end of the campaign free of charge. Lastly, if FlyBy Ads is unable to add those days onto the end of the campaign (either due to building owner agreements, future sign agreements or other reasons), FlyBy Ads will offer The Client a partial refund, equivalent to: Prorated Media Fees based on % of missed days: Ex: Media Fees for Project are $74,000/ 28 days Installation was delayed 4 days. 4/28 = 1/7 FlyBy Ads will refund The Client $10,571 Alternatively, the brand may choose to apply 2x this credit towards a future sign: Ex: Given the scenario above, The Client could apply $21, 142 towards a future sign with FlyBy Ads Mid-Project Early Takedown - Weather Event Related NOTE: If no adverse circumstances are present, FlyBy Ads adheres to all installation deadlines & due dates, as presented in your personalized Project Plan & Installation Timing document. This includes adhering to keeping the sign up for all days paid for by The Client However, it is critical The Client understands that sometimes, situations out of our control may necessitate an early takedown, such as extreme weather. This is a reality and a possibility The Client must understand before moving forward with a project with us. If this situation, while unlikely, is to occur, FlyBy Ads will proactively inform The Client of the situation so they can have proper expectations regarding the early takedown Ex: Severe weather is scheduled to hit the area, including hurricane force winds. Per our agreement with our building owners, we must perform an early takedown of the sign, before the weather hits. The above is just one example and are not exhaustive examples of what may cause a delay. If the weather dissipates and FlyBy is able to re-install the sign, FlyBy Ads may choose to do so, in which case, the same policies will apply as the previous section listed: “Installation Specifics & Adverse Circumstances” . However, the decision to re-install or end the campaign is entirely up to the discretion of FlyBy Ads. Your signature below represents your understanding that FlyBy Ads is the ultimate decision maker between the two options (re-install or end campaign early). Should FlyBy Ads choose not to reinstall the sign, thus ending the campaign early, FlyBy Ads will offer The Client a partial refund, equivalent to: Prorated Media Fees based on % of missed days: Ex: Media Fees for Project are $74,000/ 28 days Sign was taken down on day 21 due to weather. Thus, 7 days of the campaign were not completed. 7/28 = 1/4 FlyBy Ads will refund The Client $18,500 Alternatively, the brand may choose to apply 2x this credit towards a future sign: Ex: Given the scenario above, The Client could apply $37, 000 towards a future sign with FlyBy Ads
  • short displays (less than 4 weeks) and hard takedowns
we can accomodate any desired display time. however, a display flight less than 4 weeks will incur the same costs and pricing model as a standard 4-week term. if, for example, your sign is to promote a weekend-long event, we recommend displaying the rooftop sign during the 3 weeks leading up to the event and the 1 week following.
  • extending a campaign beyond 4-weeks
it is common that brands are so thrilled with the success of their FlyBy Ad campaign that they want to extend the display term beyond the 4-week period. this is allowed and encouraged, though it is subject to availability and requires extension periods in 4-week terms. the deadline to extend an existing display is 10 days prior to the Display End Date. the cost for the extension period is limited to the following: - media fee (in 4-week increments) - 20% of the total illumination fee (if project includes lighting)
  • props and 3d elements allowed
some creative campaigns may include large props or 3d elements. while we can't guarantee approval of all ideas, we do allow these additions so long as they can be engineered and secured safely.
  • adhesive and painted rooftop displays for long-term branding
we provide painting and adhesive vinyl services for long-term displays on all types of rooftops. based on your rooftop surface, we used the proper coatings and paint materials to produce a larger-than-life sign display that proudly boasts your brand for years. reach out to us at support@flybyads.co to see if we can help display your brand proudly on your roof.
  • crop circle displays
we are able to execute incredible crop circle displays. we've partnered with one of the most talented earthworks artist in the world. We can create dazzling displays that will grab the world's attention. These are perfect for certain airport markets, as well as a stunt campaign for a variety of PR stories. Here are the highlights of a standard campaign: 1 acre of display space 2-3 weeks to "install" $60-100k* *This is based on a standard display and is always subject to change based on location, size, complexity, etc.
  • projection displays
projection displays can be used to cover a rooftop, the sides of a building, or directly on the ground. projection projects are complex and require a variety of partners and approvals, but with enough leadtime they can certainly be done in an impactful way to shock and awe viewers.
  • drone illumination displays
drone technology is improving dramatically, and can now be used to light up the skies with synchronized shows. depending on your design and animation, we can choreograph the drones to create huge images in the skies and animate them to "wow" any crowd. the costs of drone shows generally comes down to the complexity and detail you prefer. the number of drones used and number of animations is key; the more detailed show, the more drones we will need, and the more it will cost. we like to have at least 60 days notice for drone shows so that we can work together on the animation process, as well as acquire the necessary approvals and permits.
